Step-by-Step Guide

This guide will walk you through the steps of getting started with your AizaMD account and completing your first SOAP notes. It also includes training resources to help you fully understand the capabilities and benefits of AizaMD.

Step 1: Create Your Account ✅

  1. Visit our website aizamd.ai or navigate to the web app app.aizamd.ai

  2. Enter your email address.

  3. Review and accept the Terms of Service and Privacy Policy.

  4. Check the box next to "I agree to AizaMD's Disclosure Agreement, Privacy Policy, and BAA."

  5. Important: Check the box next to "I’m a professional health provider." This step is crucial for account access.

  6. Click "Create Account."

Step 2: Log in to the Web App 🔑

  1. A Magic Link will be sent to your email inbox.

  2. Click on “Activate Account” to be redirected to a page where you can set your new password.

  4. Select your Speciality and Sub-Speciality from the available list.

  5. Customize your Objective Findings Text & Style to suit your preferences.

Step 3: Create Your First SOAP Notes on Web App 📄

  1. Navigate to the “Notes” module within the AizaMD Web App.

  2. Click “Start Recording” to record your provider-patient interaction.

  4. Audio recordings are available in the Transcript & Audio section, with options to adjust playback speed.

  5. AizaMD provides suggestions for relevant ICD-10 codes based on the information. You can select the appropriate codes or add them manually.

  6. Review auto-generated SOAP notes and edit them according to your preference. You can regenerate the notes by clicking on “Regenerate”.

OR Create Your First SOAP Notes on Mobile App📱

  1. Download the latest version of the AizaMD app from the App or Play Store and get access to all the new features by clicking here.

  2. Launch the Mobile App and log in using your account credentials.

  3. Navigate to the “Notes” module.

  4. Press the mic icon to record your provider-patient interaction.

  5. Press the red button to finish recording.

  6. Review auto-generated SOAP notes and edit them according to your preference. You can re-generate the notes by pressing “Regenerate Note.”

    1. You can edit, copy, share, or rate your finalized note. Furthermore, you can send it to an existing EHR. It also allows you to regenerate your note with custom instruction or with AI.

Step 4: Transcribe Calls & Create Notes with Dialer 📞

  1. Navigate to the Dialer module in the AizaMD App.

  2. Use the number pad to input the patient’s phone number.

  3. Click the Call button. A consent screen will appear. Toggle "Outbound caller" if you agree to call recording, then click “Continue” to proceed.

  4. During the call, use options for Mute, End Call, or Speaker as needed.

  5. The call will be recorded and transcribed automatically.

  6. Review the generated SOAP notes and edit as needed. You can also view patient’s After Visit Summary with details.

  7. Click “Send” to EHR to integrate the notes into the patient's record.

Step 5: Create Customized Reports with AnyDoc 📝

  1. Navigate to the AnyDoc module from the left menu in AizaMD.

  2. Choose a template category from the list. (EEG, Discharge Summary, Procedures, Letters, or Miscellaneous. )

  3. Click on a template to see detailed dictation instructions, guiding you on what information to include.

  4. Click “Start Recording” to begin dictating the report using the template structure.

  5. Once you stop recording, the app will automatically upload it for processing. Review the auto-generated notes.

  6. If needed, click “Regenerate” to add more details using either a new recording or by typing extra information.

  7. Click “Send to EHR” to update the patient’s records directly.

Create Your Own Templates 🖋️

  1. Go to the templates section and click “Add New” to create a custom template.

  2. Fill in the template details by selecting the type (e.g., Procedure, EEG), then enter a keyword and a clear key-phrase for easy identification.

  3. Use the Template Editor to define the structure of your report (e.g., Title, Patient Information, Procedure Details).

  4. Record a Voice Note to describe the purpose or context of the template.

  5. Click Submit Template. A confirmation message will appear once it’s successfully uploaded and available for use.

Step 6: Share Notes with Connected Accounts 🔄

  1. To send an access request to connect your account, go to “View Profile”.
  2. Click on “Connected Accounts.”
  3. Enter the email address of the person you want to collaborate with (e.g., a colleague, nurse practitioner, or other healthcare professionals).
  4. Click “Send Access Request” to send the link directly to their email.
  5. Once the access request is accepted, the connected person will have access to view and collaborate on your notes, allowing for streamlined teamwork and efficient patient management.
  6. You can choose to edit, pause access, or delete a user.

Step 7: Install and Pin the AizaMD Chrome Extension🌐📌

  1. Open the Chrome Web Store and Search for "AizaMD" in the Chrome Web Store search bar or click here
  2. Click the blue "Add to Chrome" button.
  3. Click on the puzzle piece icon in the top-right corner of the Chrome browser to open the Extensions menu.
  4. Find "AizaMD" and click the pin icon next to it. The AizaMD icon will appear on the toolbar.
  5. Log in and repeat Step 3 to create SOAP notes.
